Key Responsibilities 1. Strategic & Operational Support to COO: Act as a trusted advisor and extension of the COO, understanding priorities and proactively managing tasks to ensure objectives are met. Assist the COO in strategic planning, business development initiatives, and operational excellence projects. Conduct research, analyze data, and prepare summaries or presentations on market trends, competitor activities, and internal performance for the COO&aposs review. 2. Meeting Coordination & Management: Manage the COO&aposs complex calendar, scheduling internal and external meetings, including those with GWM Global HQ and key partners. Prepare comprehensive meeting agendas, pre-reading materials, and presentations. Attend meetings with the COO, taking accurate and concise minutes, capturing key decisions, action items, and responsible parties. Track and ensure timely follow-up on all action items from meetings, providing regular updates to the COO. Coordinate all logistical aspects for meetings, including venue booking, technology setup, and catering when required. 3. Report Preparation & Data Analysis: Gather, compile, and analyze data from various departments (e.g., Sales, Marketing, After-Sales, Finance, Network Development) to support the COO&aposs reporting requirements. Develop, draft, and refine high-quality reports, presentations, and proposals using Microsoft Office Suite (PowerPoint, Excel, Word) for internal and external audiences. Ensure accuracy, clarity, and consistency in all prepared documents, often under tight deadlines. Translate complex data into actionable insights for the COO. 4. Mandarin Translation & Interpretation: Provide accurate and fluent simultaneous and/or consecutive interpretation during high-level meetings, discussions, and conferences involving Mandarin-speaking GWM Global HQ representatives, partners, or other stakeholders. Translate a wide range of business documents from English to Mandarin and vice-versa, including official correspondence, reports, presentations, policy documents, and internal communications. Ensure cultural nuances and business context are accurately conveyed in both verbal and written translations. 5. Communication & Stakeholder Management: Act as a primary point of contact for the COO, managing incoming communications (emails, calls) and prioritizing responses. Facilitate seamless communication between the COO and internal department heads, GWM Global teams, dealership partners, and other external stakeholders. Draft and manage confidential correspondence and communications on behalf of the COO. 6. General Administrative & Project Support: Manage complex travel arrangements and itineraries for the COO. Handle confidential and sensitive information with the utmost discretion and professionalism. Assist in special projects and initiatives as assigned by the COO, often requiring cross-functional coordination. Qualifications Education: Bachelor&aposs degree in Business Administration, Communications, Automotive Management, International Relations, or a related field. A Master&aposs degree is an advantage. Experience: Minimum of 5 years of progressive experience in a similar executive support, Chief of Staff, or high-level administrative role, preferably within a multinational automotive company or a fast-paced corporate environment. Experience supporting C-level executives is highly preferred. Required language(s): Mandarin, Bahasa Malaysia, and English. Ability to speak and write in Mandarin is a plus. Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Experience with virtual meeting platforms (e.g., Zoom, Microsoft Teams). Familiarity with CRM or ERP systems is a plus. Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively in a demanding environment. Superior verbal and written communication skills, with a keen eye for detail. Strong analytical and problem-solving abilities, capable of synthesizing complex information into clear reports. High level of discretion, integrity, and confidentiality. Proactive, resourceful, and able to anticipate needs and take initiative.
