- Diploma/Degree in Business Administration, Office Management, or related field
- Minimum 1-2 years of experience in administration or secretarial role
- Proficient in Microsoft Office (Word, Excel, PowerPoint, etc.)
- Good command of English & Malay (written & spoken)
- Strong communication, organizational, and multitasking skills
- Attention to detail and accuracy in reviewing documents and reports
- Ability to prioritize and manage multiple tasks under pressure
- Able to work independently and handle confidential matters with discretion
- Manage and coordinate CEO's schedule, appointments, and meetings
- Prepare, review, and maintain documents, reports, and meeting minutes
- Review all documents submitted by supervisors or staff before presenting to CEO
- Act as the liaison between CEO and staff/other departments, ensuring smooth communication and follow-ups
- Act as a gatekeeper by filtering and prioritizing information or requests before escalating to CEO
- Assist in drafting and preparing official letters, memos, and correspondence
- Oversee office administration, filing systems, and record management
- Support in basic HR or finance admin tasks (e.g., claims, leave record, petty cash)
- Prepare presentation slides or briefing notes for CEO when required
- Ensure confidentiality of company records and sensitive information
- Monitor deadlines & KPIs of departments on behalf of CEO, ensuring tasks are completed on time
- Provide daily operational and administrative support to CEO and management team
