Role and Responsibilities: Manage the calendar of the Chief of Staff & CEO by scheduling appointments, organizing meetings, and prioritizing urgent requests effectively. Prepare and organize materials for meetings, conferences, and agendas to ensure the Regional Manager is fully prepared for all engagements. Record and distribute accurate meeting minutes for sessions attended by the regional team, ensuring timely communication with relevant stakeholders. Provide comprehensive administrative support to the regional team, including managing correspondence, documentation, and overall office administration. Coordinate and support the meetings and activities of the Senior Management Team. Track, follow up on, and report the status of delegated tasks and action items on behalf of the Regional Manager. Serve as the primary liaison for all internal and external communications related to the CEO Office team, maintaining a high level of professionalism and confidentiality at all times. Communicate and collaborate with all levels of management, departments, and external stakeholders in a professional and discreet manner. Perform any other administrative or operational duties as assigned by the CEO Office or operations team. You should have: Diploma or Degree in Business Administration or a related field. Minimum of 1-2 years' experience in a secretarial or administrative support role. Excellent organizational skills with the ability to multitask and prioritize effectively under pressure. Strong attention to detail and a high level of accuracy in work. Proficient in Microsoft Office applications (Word, Excel, PowerPoint). Excellent communication skills in English, Mandarin, and Bahasa Melayu (both written and spoken). Strong interpersonal skills with a proactive and professional approach. Show more Show less
