Overall: The position will provide high-level executive support to Managing Director managing schedules, communications, and confidential matters with discretion and efficiency. This position plays a critical role in ensuring the MD&aposs day-to-day operations run smoothly, both professionally and personally. The ideal candidate must be highly organized, discreet, and efficient in managing diverse tasks. Responsibilities: Core Responsibilities: Manage and coordinate the MD's calendar, including scheduling meetings, events, and travel arrangements. Handle all professional correspondence (emails, calls, letters) and ensure timely responses and follow-ups. Prepare and organize documents for meetings, including agendas, reports, presentations, and minutes. Liaise with internal departments, board members, clients, and external stakeholders on behalf of the MD. Coordinate complex travel arrangements including flights, accommodations, visas, and itineraries. Maintain and regularly update a well-organized filing system (both digital and physical) for professional documents and records. Track and assist in the completion of business-related tasks, projects, and deadlines. Draft, edit, and proofread reports, proposals, and high-level communications. Attend meetings when required and provide detailed minutes and action point follow-ups. Always maintain confidentiality of all corporate and sensitive information. Demonstrate a consistently positive attitude , polite demeanor , and respectful communication style when engaging with colleagues, clients, and stakeholders. Personal Tasks: Assist the MD with personal scheduling and errands as needed (e.g., personal appointments, family logistics, special occasions). Coordinate personal travel arrangements, including leisure trips and family vacations. Manage personal document filing, renewals (e.g., passport, insurance), and reminders. Run occasional errands and manage household-related admin (if applicable). Handle ad hoc requests and personal projects as assigned by the MD. Qualifications & Experience: Bachelor's degree in business administration, Communications, or related field. Minimum 3-5 years of experience in a similar corporate-level PA or Executive Assistant role. Excellent written and verbal communication skills in English and Bahasa Malaysia (Mandarin is an advantage) High proficiency in Microsoft Office Suite and digital productivity tools.
