The Finance and Administrative Executive supports the Finance Manager in all aspects of accounting and accounts management and is responsible for the efficient functioning of the office through a range of administrative tasks and for supporting the executive team with efficient administrative support. Responsibilities: Finance 1. Issue timely sales invoices in multiple currencies and update receipt transactions. 2. Review and follow up on overdue receivables till collection is made. 3. Update supplier invoices in multiple currencies, process payments via digital banking and update payment transactions. 4. Update all banking transactions 5. Maintain fixed assets register and perform monthly posting of depreciation & amortization. 6. Perform monthly / yearly posting in accounting system. 7. Keep all accounting records up-to-date for all entities. 8. Prepare schedules and reconciliation. 9. Assist in financial reporting and analysis. 10. Manage intercompany transactions, schedules, and reconciliation. 11. Liaise with corporate secretarial, tax agent, accounting agent, bank. 12. Provide data and prepare documents for grant application and submission. 13. Understand and manage withholding tax. 14. Work together with HR on employees claims by checking and input claims into system. 15. Other ad-hoc tasks within the role as assigned by the company. Administrative 1. Day-to-day office management and administrative functions not limited to general office maintenance, purchase of office supplies/stock, arrangement of couriers/delivery, filing/photocopying/scanning, other ad-hoc tasks as required. 2. Support the executive team on business meetings and travel arrangements, not limited to calendar management, flight and accommodation booking and transportation arrangement. 3. Other ad-hoc tasks within the role as assigned by the company. Requirements: 1. At least 2 years' experience in similar capacity. 2. Familiar with XERO accounting software. 3. Strong initiative, numbers and detail oriented and good time management. 4. Strong organizing and coordinating ability. 5. Good interpersonal skill with the ability to engage people at all levels. 6. Work well independently or with less supervision, as well as in a team. 7. Able to maintain strict confidentiality of sensitive information gathered while working with the executive team.
