We are seeking a versatile and detail-oriented Administrative & Operations Executive to support our team in Equalbase. This role encompasses a broad range of responsibilities, including office administration, finance-related tasks, and business development support. The ideal candidate is highly organized, resourceful, and able to multitask efficiently in a fast-paced environment. Office Administration Manage and maintain inventory records for office supplies and equipment for all staff across Malaysia. Coordinate travel arrangements, including booking of flights, hotels, and transportation for staff nationwide. Procure and manage hardware distribution and usage for employees across Malaysia. Oversee procurement and maintenance of office equipment (e.g., copiers, water dispensers) at the Johor office to ensure functionality and availability. Coordinate courier services, handle incoming/outgoing mail, and manage parcel deliveries. Liaise with building management on office maintenance and facility-related matters in the Johor office. Support onboarding by preparing welcome kits for new joiners at the Johor office. Assist with the organization of internal meetings and company events when needed. Perform other administrative duties as assigned. Finance Upload and route invoices through the system for approval. Enter purchase invoices into the accounting system for accurate record-keeping and processing. Execute payment transactions using the Maybank online banking platform in accordance with company procedures. Business Development Administration Assist with market and competitor research, as well as customer surveys to support strategic decision-making. Maintain and archive sales, leasing, and business development documents manually and/or via relevant software. Maintain and regularly update comprehensive databases relevant to the MY market.
