Job Overview: The HR & Operations Executive is responsible for managing and executing a wide range of HR and operational functions within a shared services environment. This includes overseeing onboarding and offboarding processes, handling visa and employment pass coordination, supporting consultant and recruitment activities, and managing general office administration. The role requires strong organizational and communication skills, the ability to work independently, and experience in navigating cross-functional collaboration. This position plays a critical role in ensuring efficient day-to-day operations and delivering a seamless experience to both internal employees and externally placed consultants. Key Responsibilities: HR Operations & Compliance Manage and improve end-to-end onboarding and offboarding processes, ensuring full compliance with internal procedures and client expectations. Maintain and audit employee records, HR trackers, and documentation within HRIS and digital systems. Draft and review employment contracts, HR letters, memos, and reports. Oversee leave, attendance, and claim tracking for internal and external employees. Ensure adherence to HR policies, assist in policy updates, and support compliance initiatives. Consultant & Pass Management Serve as the HR point-of-contact for consultants deployed to client sites, handling all HR-related touchpoints. Manage visa and employment pass applications, renewals, and compliance documentation. Liaise with relevant government bodies, vendors, and internal stakeholders to ensure timely submissions and approvals. Track contract timelines, consultant performance follow-ups, and document renewals. Recruitment & Business Enablement Coordinate pre-onboarding processes including documentation, background checks, and internal clearance. Work closely with the recruitment and sales teams to align candidate readiness with project requirements. Provide HR documentation and support for tenders, proposals, and client onboarding packages. Assist in internal hiring needs, shortlisting, and coordination with relevant hiring managers. Employee Engagement & Internal Initiatives Lead employee engagement activities, including internal surveys, team events, and celebrations. Contribute to newsletters, company updates, and internal communication strategies. Support employee relations by addressing general queries and escalating matters when needed. Collaborate with team leads to support initiatives that enhance employee experience and morale. Office & Administrative Operations Oversee day-to-day office administration, including inventory, stationery, courier, and facility coordination. Manage office asset lists, maintenance requests, access card issuance, and seating arrangements. Support event logistics, office moves, and workspace improvement projects. Act as the go-to person for ad hoc office or operational support requirements. Required Skills: Degree or diploma in Human Resources, Business Administration, or a related field. Minimum 3-4 years of experience in a similar HR generalist or HR operations role, preferably in a shared services or consulting environment. Hands-on experience with onboarding/offboarding, visa/pass management, and consultant coordination. Excellent communication and organizational skills with the ability to manage multiple priorities independently. High attention to detail and strong confidentiality when handling sensitive data. Proficient in Microsoft Office Suite (Excel, Word, PowerPoint); experience with HRIS tools is an advantage. Able to collaborate cross-functionally and build rapport with employees and stakeholders.
