- Diploma / Bachelor's degree in Event Management, Business, or a related field.
- Proven experience in managing and executing successful events with at least 2 years of experience in the events industry.
- Excellent verbal and written communication skills in English, Bahasa Malaysia, and Mandarin (for China clients).
- Creative mindset and ability to develop engaging content and event ideas.
- Excellent organizing and planning skills, good team spirit, reliable, and independent.
- Strong attention to detail and a focus on quality assurance.
- Proven experience in event operations and logistics management.
- Ability to manage multiple projects simultaneously and meet deadlines.
- Strong problem-solving skills and the ability to think on your feet.
- Possess own transport and willing to travel extensively.
- Willingness to work flexible hours, including evenings and weekends, as needed.
- Develop detailed operational plans for all aspects of events, including logistics (venue selection, catering, transportation, equipment rental, entertainment, décor, schedules, and resource requirements).
- Coordinate and maintain effective communication channels with internal teams, clients, and external vendors to ensure smooth execution.
- Collaborate with stakeholders to ensure alignment with event objectives.
- Plan events from start to finish according to requirements, target audience, and objectives.
- Prepare event-related documents (Runbook, Checklist, etc.).
- Prepare and manage budgets, ensuring adherence.
- Propose ideas and suggestions to enhance event success.
- Analyze event performance and prepare reports.
- Conduct pre-show preparations and travel to sites for project monitoring.
- Compile costing deck, account payment schedule, and finalize detailed vendor costs.
- Create and manage event budgets, negotiate contracts with vendors, and ensure expenses stay within budgetary limits.
- Research event concepts, including design, themes, entertainment, venues, activities, and trends.
- Hire and manage personnel (ushers, crew, emcee, etc.).
- Ensure all operational aspects meet quality standards and client expectations.
- Oversee logistics, including venue setup, transportation, equipment, and technical requirements.
- Collaborate with vendors to secure services and ensure timely delivery.
- Arrange necessary items such as event props, tools, and walkie-talkies.
- Ensure events run smoothly and resolve any issues promptly.
- Manage timely processing of payments and related services.
- Source and negotiate contracts with vendors (venues, caterers, AV providers, and other services).
- Develop stock load/unload and logistic scheduling plans.
- Optimize resource utilization for operational efficiency.
- Handle ad-hoc tasks related to events, technical coordination, or other assignments from superiors.
- Liaise with vendors, monitor timelines, and ensure quality expectations are met.
- Lead on-site event operations, including setup, execution, and breakdown.
- Coordinate with the operations team and vendors for seamless event flow.
- Supervise staff (event coordinators, caterers, etc.).
- Adapt to ad-hoc events and last-minute planning requirements.
- Communicate with guests and provide customer service before, during, and after events.
- Record technical meeting minutes and prepare on-site documentation (including voice recordings).
- Assist in arranging internal briefings and meetings.
- Allocate and manage resources efficiently (staff, equipment, materials).
- Implement measures to address and resolve issues during events.
- Conduct post-event evaluations to assess operational effectiveness.
- Perform post-mortem reviews upon event completion.
- Support internal project planning teams by sharing insights into client preferences.
- Collaborate with the internal project operation team to ensure seamless communication and smooth operations.
- Liaise with the internal event and creative team regarding client inquiries or requests.
- Liaise with other internal teams for client inquiries or requests.
- Participate in weekly departmental meetings.
- Attend monthly knowledge-sharing sessions within the team to enhance individual skills.
- Submit monthly project reports and monthly scorecard appraisals with the Head of Department (HOD).
- Submit weekly task planning and learning outcomes.
- Update daily progress reports.
- Undertake any other ad-hoc assignments or duties as assigned by superiors.
