- Achieve at least Degree
- Minimum 4-5 years of relevant experience in administrative operations, with at least 1-2 years in a managerial or leadership capacity.
- Proficient in AutoCount or equivalent accounting software.
- Preferably experienced in construction, interior design, or related project-based industries.
- Demonstrated ability to manage, train, and lead a team.
- Excellent communication and coordination skills across departments and with external stakeholders.
- Able to communicate fluently in Bahasa Malaysia, English, and Mandarin (both spoken and written).
- Strong organizational skills, attention to detail, and the ability to handle multiple tasks under pressure.
- Proactive and solution-oriented, with strong analytical thinking and process improvement mindset.
- Experience or knowledge in basic maintenance coordination will be considered an advantage.
- Lead and manage the overall operations of the administrative department to ensure smooth, efficient, and compliant daily operations.
- Supervise the admin team by providing guidance, training, task delegation, and performance review.
- Manage and review all documentation including quotations, purchase orders (PO), delivery orders (DO), invoices, contracts, and internal records.
- Ensure accurate data entry and reporting using AutoCount or equivalent accounting systems.
- Coordinate closely with design, finance, site, and external clients to support cross-departmental operations.
- Develop and enforce admin policies and SOPs to improve operational efficiency and compliance.
- Monitor administrative expenses and ensure resource allocation aligns with budgetary guidelines.
- Oversee office facilities, supplies, and maintenance to ensure a safe and productive work environment.
- Serve as the main liaison for vendors, service providers, and clients on administrative matters.
- Prepare timely reports and updates to management regarding admin KPIs, issues, and improvements.
