We're expanding and looking for an organized, proactive, and resourceful Personal Assistant to support our Managing Director in daily operations and strategic planning. Role Overview As the Personal Assistant to the Managing Director, you'll play a crucial role in ensuring the efficient management of the MD's schedule, correspondence, meetings, and daily priorities. This position is ideal for someone who thrives in a fast-paced, dynamic environment and enjoys being the go-to person for coordination, communication, and execution. Key Responsibilities Manage the MD's electronic diary, schedule appointments, and prioritize tasks. Arrange travel and accommodation, including handling visa applications when required. Process and manage incoming and outgoing correspondence. Maintain organized office systems and filing structures. Keep accurate records of contacts and communications. Screen calls, emails, and inquiries, responding or redirecting as needed. Conduct follow-ups on action items and ensure timely responses. Prepare and format documents, reports, presentations, and briefing materials. Coordinate and prepare for internal and external meetings, including agendas and pre-read materials. Support with events, funding partner arrangements, and stakeholder engagements. Welcome and manage visitors and guests, ensuring a professional experience. Oversee general office correspondence, including mail. Take on ad hoc administrative tasks as required by the MD. Who We're Looking For A Diploma or Degree in any discipline (Business, Management, or Administration is a plus). 1-2 years of relevant experience in an administrative or personal assistant role. Excellent organizational, communication, and multitasking skills. Ability to handle confidential information with discretion. Proficient in Microsoft Office Suite and digital collaboration tools. Strong attention to detail and a proactive mindset. Professional demeanor with the ability to interact with all levels of stakeholders.
