  • Diploma/Bachelor's degree in a relevant field such as Corporate Administration, Law, or Business Administration. (Fresh Grads encouraged!)
  • Minimum of 2 years of experience in a company secretarial role, demonstrating a solid understanding of company secretarial practices.
  • Proficiency in English, Mandarin, and Bahasa Malaysia, both written and verbal, to effectively communicate with diverse stakeholders.
  • Strong knowledge of regulatory compliance requirements and corporate governance principles in Malaysia.
  • Excellent documentation and record-keeping skills, with meticulous attention to detail to maintain accurate and organized company records.
  • Demonstrated ability to manage meetings effectively, including preparing agendas, taking accurate minutes, and following up on action items.
  • Exceptional interpersonal and communication skills to build rapport and liaise with internal and external stakeholders, including directors, shareholders, and regulatory bodies.
  • Familiarity with documentation management systems and software to ensure efficient storage and retrieval of important corporate documents.
Responsibilities
  • Assist in the preparation and filing of statutory documents with the Companies Commission of Malaysia (SSM), ensuring compliance with the Companies Act 2016.
  • Maintain and update statutory registers, including the register of members, directors, secretaries, and charges.
  • Coordinate and prepare for board meetings, annual general meetings (AGMs), and extraordinary general meetings (EGMs), including drafting notices, agendas, and resolutions.
  • Take accurate minutes of meetings and ensure their timely circulation and filing.
  • Assist in the preparation and submission of annual returns and other regulatory filings.
  • Manage and maintain corporate records, ensuring their accuracy and accessibility.
  • Liaise with external parties such as auditors, lawyers, and regulatory authorities on company secretarial matters.
  • Monitor changes in relevant legislation and regulations and advise the company on compliance requirements.
  • Assist in the implementation of corporate governance policies and procedures.
  • Provide administrative support to the Company Secretary and other senior management as required.
