- Handle front desk duties independently and keep the reception, office, and pantry areas tidy. Handle front desk duties independently and keep the reception, office, and pantry areas tidy.
- Ensure office and pantry areas are clean and stocked.
- Track and manage office supply inventory.
- Arrange repairs for office equipment (e.g., coffee machine, grease trap).
- Ensure timely renewal of licenses and permits (e.g., business, fire extinguisher permits).
- Assist with purchasing, following procurement guidelines.
- Supervise office cleaner to meet company standards.
- Train backup receptionist for front desk duties.
- Share building management updates with staff, and coordinate office closures/testing with the Office Manager and IT.
- Address EMS alerts (e.g., water leaks) by coordinating repairs.
- Report site management issues to the Office Manager.
- Follow safety and security protocols, and communicate with HSE and Security.
- Handle phone calls, direct visitors, and respond to general inquiries.
- Sort and manage mail, courier, and deliveries.
- Issue permits and access cards for contractors and visitors, with records.
- Review expenses for pantry supplies and stationery quarterly.
- Degree / Diploma in Business Admin, or related field of study.
- At least 3-4 years of experience in office administration and receptionist roles within a corporate environment.
- Meticulous, organize, and with pleasant personality
- Proficient in MS.Office
- Proficient in English communication
- Must be able to prepare report by using Ms.Excel
- Confident, multitasking and presentable
