- 2-3 years relevant working experience at supervisory level, preferably in hospitality/healthcare industry or related environment.
- Ensures she reports to work station 5 minutes before the start of shift in a high standard of personal grooming as specified in the front office grooming guidelines.
- Prepares duty rosters ensuring continuous 24-hour coverage and counterchecks work schedules every two weeks
- .Contributes to profitability of the Hospital through the carrying out of outstanding customer service.
- Conduct Front Office Department Orientation to introduce all new staff to Telecommunication functions, section heads and other department services.
- Participates in the selection and development of all Telephone Operator staff.
- Trains and motivates staff to achieve the highest standards of service and customer satisfaction.
- Plans and coordinates improvements in the operation and management of the Telecommunication Department to improve service and profits in coordination with the Assistant Manager.
- To operate the PABX system and handle all calls to / from the Hospital in a courteous and efficient manner.
- Ensure that all PABX equipment is used and maintained according to specifications and procedures.
- To carry out the respective protocols for Code Blue, Pink (medical/paediatric emergencies), Code Yellow (in the event of a calamity) and Code White (HIS system).
- To contact and liaise with respective contractors with regard to faults in the PABX system, PA system and paging system.
- To update the telephone directory of the Hospital and ensure other departments are being informed of any additional extensions.
- To maintain records and statistics as requested.
- To read, update and follow up on any incidents in the logbook daily.
- Maintains effective security procedures for all incoming calls to ensure the privacy of all Hospital patients.
- Maintains regular and effective communication with other hospital departments to ensure the smooth operation of the Front Office.
- Participates in all staff and training meetings as directed by the Assistant Manager.
- Provides information to guest and staff regarding current hospital events and special functions, facilities and services.
- Maintains a high standard of hygiene and sanitation throughout all service areas.
- To double-check census reports that are done by night shift operators.
- To carry out any other duties and responsibilities as directed by the Customer Service Executive.
