Job Purpose To ensure all pharmaceutical products and medical devices, especially Dangerous Drugs, Psychotropic, and other Controlled Items, are received, handled, stored, and transported in full compliance with Good Distribution Practice (GDP), GDPMD, and relevant laws and regulations. This role involves close coordination with government authorities and plays a critical part in ensuring regulatory compliance and operational integrity. Key Responsibilities 1. Warehouse & Logistics Operations Manage daily warehouse operations to ensure timely, accurate, and compliant delivery of pharmaceutical and controlled items. Ensure goods are received, stored, and transported under the correct conditions with the required documentation. 2. Inbound & Outbound Activities Oversee and approve all warehouse movements involving Dangerous Drugs, Psychotropic, and Controlled Items. Ensure all movements follow strict documentation and handling protocols. 3. Regulatory Reporting Compile and submit mandatory monthly reports and records to State and Federal Pharmacy Enforcement under the Ministry of Health. 4. Audit & Investigation Support Assist during audits conducted by NPRA, MOH enforcement units, and ISO auditors. Collaborate with Quality Assurance and Quality Control teams for product investigations involving DDCI. 5. Quota & Permit Applications Manage yearly quota applications and timely permit submissions for Dangerous Drugs, Psychotropic, and Controlled Items. Liaise with the Pharmacy Services Department for approvals and return of permits post-clearance. 6. Returns, Disposal & Reverse Logistics Oversee the handling and proper disposal of rejected, recalled, expired, and returned DDCI items according to Poisons Regulations and DOE guidelines. Manage reverse logistics and determine if returned stock is fit for sale or disposal. 7. Stock Accuracy & Reconciliation Conduct quarterly stock takes and ensure stock accuracy and integrity are maintained at all times. 8. Process Improvements & Cost Efficiency Continuously seek improvements in warehouse systems, processes, and controls for better efficiency, compliance, and cost-effectiveness. 9. Regulatory Compliance Ensure all handling, storage, and transport of pharmaceutical products and medical devices comply with GDP, GDPMD, ISO 9001, ISO 13485, and HALAL practices. Work closely with licensed pharmacists to maintain control over regulated items. Qualifications & Experience Academic & Professional Bachelor's Degree in Pharmacy Registered with the Pharmacy Board of Malaysia Possesses a valid Poison License A Experience Required Minimum 2-3 years of working experience in the pharmaceutical industry, preferably involving regulatory compliance and controlled substances Pharmacists with a strong passion for pharmaceutical warehouse & logistics are encouraged to apply. Strong understanding of Dangerous Drugs Act, Poison Regulations, GDP, and GDPMD practices Technical Skills Proficient in SAP for inventory, reporting, and compliance tracking Strong command of Microsoft Excel and PowerPoint with excellent presentation and reporting skills Familiarity with cold chain logistics and temperature monitoring systems Show more Show less
