Supports Human Resources Department at HQ. MAIN DUTIES AND RESPONSIBILITIES: In-charge of whole office administration matters including office equipment, stationery, printings, office maintenance and reparation of office facilities etc. Develops a records management plan that includes filing, purging files and adherence to HR and Admin requirements. Develops a record for staff training. Manages office general housekeeping. Ensure housekeeping is always maintained. Monitor and purchase of office stationery and beverages. Provide guidance and taking charge of Cleaner cum Tea Lady and Driver cum General Service duties. Organize all office and Project files and arrange it in order. Perform general clerical duties like photocopying, faxing, mailing and filing as assigned. Coordinate with other sections/departments for receiving / delivering documents. Update of Staff records in view of their status of employment. Maintain and compile staffs time sheet and send report to payroll section. Prepare records for overtime claims and send them to payroll section. Prepare documents for Insurance and follow up with HR. Administers the HR procedures are adhered to Administer all Staffs' attendance to work and movements. Maintain record / planner of Staff movements for work. Administer Staffs' leave record and report to HQ. Administer staff travel arrangement. Administer medical claims record, maintaining and ensuring all medical claim records are accurate. Collect incoming mail, fax and monitor courier services. Answering incoming calls and attending to staff enquiries. Induction to new Staffs on general administration and HR requirements. Prepare work permit for new Staffs. Take care of all Staffs Passports and Work Permits. Ensure all in good order and not expired; and to prompt renewal upon expiring. Maintain confidentiality in all aspects of client, staff and company information. Manages stock of office supplies and other business related office services. Handle the recruitment activities such as interview arrangement, reference check, etc. as assigned. Attends to correspondence including sorting and distributing mail, drafting, preparing and/or typing correspondence, reports or meeting minutes often of a complex or confidential nature. Perform other incidental clerical duties such as receiving and sorting mails, handle telephones enquiries, attend to walk-in vendors, visitors and customer, etc. Provide administrative support to Human Resource Department in all HR function All other duties assigned by HR Manager or Admin Manager or HR & Admin Senior Executive.
