About the client:Our client is a group of accounting professionals operating across Japan and Asia, specializes in consulting, tax, audit, advisory services, M&A, visa support, and establishing local internal controls.They are seeking a detail-oriented and proactive executive to handle corporate administrative matters for our clients. This role involves liaising with government authorities, banks, and other agencies to ensure smooth and timely completion of immigration, licensing, and business-related applications.Key Responsibilities
  • Manage end-to-end processing of visa applications (e.g. Employment Pass, Professional Visit Pass, Dependent Pass, etc) through relevant government portals (e.g. ESD, MYXpats, MDEC, etc).
  • Liaise with the Immigration Department of Malaysia, Ministry of Home Affairs, Expatriate Services Division (ESD), Malaysia Digital Economy Corporation (MDEC), and other relevant authorities on immigration matters.
  • Prepare and compile required documents for visa submissions and renewals.
  • Monitor application timelines and follow up on pending cases.
  • Maintain accurate records of all applications, submissions, and approvals.
  • Assist in advising internal teams and clients on visa requirements, timelines and changes in immigration laws.
  • Handle cancellations and transfers of work permits when needed.
  • Coordinate with banks for preparation of documents required for opening company bank account openings, KYC documentation, and other related processes.
  • Liase with banks to arrange appointments and ensure smooth account setup.
  • Ensure all forms are properly filled and signed according to the banks requirements.
  • Prepare and submit applications for various business-related licences (e.g. business premises license, signboard license, WRT license, etc).
  • Liase with local authorities such as DBKL, MBPJ and other local councils.
  • Ensure timely renewal of licenses to avoid penalties or business disruptions.
  • Keep track of license expiry dates and maintain a proper filing system for all licenses.
  • Ensure all activities comply with Malaysian laws, regulations, and company policies.
  • Assist with other corporate service matters as assigned.
Requirements
  • Diploma or Degree in Business Administration, Human Resources, Management, or a related field.
  • Experience in immigration services, bank account opening, or licensing.
  • Strong organisational skills and attention to detail.
  • Good communication skills in English and Malay; proficiency in other languages is a plus.
  • Ability to manage multiple assignments and meet tight deadlines.
