Kickstart your career in HR!: Join Avensys Consulting as an HR & Operations Intern and gain hands-on experience in consultant coordination, visa & employment pass support, recruitment assistance, HR operations, and business enablement in a high-impact shared services environment. You&aposll be working closely with the HR, sales, and recruitment teams to support both internal and external business needs. Key Responsibilities: 1. HR Operations & Admin Support Assist in end-to-end onboarding and offboarding processes (documentation, induction, exit clearance). Maintain and update HR trackers, employee files, and digital records. Support leave, attendance, and claim tracking for internal and external staff. Help prepare HR letters, contracts, memos, and reports. Assist in drafting policies, memos, or communications as required. 2. Consultant / External Employee Coordination Act as a point of contact for consultants placed at client sites. Assist in managing consultant databases, timesheets, renewals, and employment pass processes. Assist with visa tracking, documentation filing, and liaising with relevant authorities or vendors when necessary. Support documentation and coordination for visa and employment pass applications or renewals in compliance with company and government guidelines. Follow up with the sales team on performance check-ins, contract-related matters, and HR documentation. 3. Sales, Recruitment & Business Support Handle inquiries from potential employees, recruiters, and sales teams regarding HR processes, documentation, or any required information in a timely manner. Provide business support for new potential projects, including assisting with tender submissions, document preparations, and HR-related requirements. Liaise with the sales and recruitment teams to ensure HR processes are aligned with client expectations and business needs. Support documentation, background checks, and onboarding coordination for new hires, especially those placed at client sites. 4. Employee Engagement & General Support Assist in employee engagement initiatives, events, internal surveys, and birthday celebrations. Contribute to newsletters, team updates, and company-wide communication. Assist with any ad hoc operational, HR, or administrative tasks as assigned by the team or management. Support team bonding efforts and morale-boosting initiatives. 5. Office Operations & Administrative Support Manage and track office supplies, pantry items, stationery stock, and monthly inventory. Coordinate courier, dispatch, and printing services as required. Handle maintenance requests (air-con, lighting, internet issues) and vendor communications. Support access card distribution and visitor registration, maintaining office security protocols. Help manage meeting rooms, office cleanliness, and seating arrangements. Update office asset list, monitor repairs, or replacements as needed. Assist in relocation or workspace reorganization projects. Support event logistics (townhalls, celebrations, training sessions) including venue setup and catering. Serve as a go-to person for any ad hoc operational needs or office coordination tasks. Required Qualifications & Skills: Currently pursuing or recently completed a degree/diploma in HR, Business Administration, or related field. Available for a full-time internship for a minimum of 3 months (up to 8 months preferred). Strong communication, coordination, and multitasking skills. High attention to detail and ability to handle sensitive data confidentially. Proficient in Microsoft Office (Excel, Word, PowerPoint); familiarity with HR tools is a plus.
