More details as below Job Description Key Responsibilities Project Administration Provide day-to-day administrative support to project managers and project teams. Coordinate project documentation, including contracts, meeting minutes, reports, schedules, and correspondence. Track project deliverables, milestones, and deadlines, ensuring timely completion and reporting of progress. Maintain project files and records in line with company and client requirements. Organize meetings, workshops, and client interactions; prepare agendas and presentations as required. Assist in preparing project-related financial summaries, timesheets, and expense tracking. Procurement & Vendor Management Manage the end-to-end procurement process for project requirements (materials, equipment, subcontractors, and services). Develop and issue RFQs/RFPs, evaluate bids, and negotiate contracts with vendors. Ensure compliance with company procurement policies, project budgets, and timelines. Maintain vendor database, establish supplier relationships, and evaluate supplier performance. Coordinate purchase orders, delivery schedules, and invoicing with vendors and finance teams. Monitor stock/inventory levels of project-critical items and initiate timely replenishment. Resolve procurement-related issues such as delays, discrepancies, and non-conformance. Compliance & Reporting Ensure all project and procurement activities align with quality, safety, and compliance standards. Support audits and internal reviews by maintaining accurate procurement and project documentation. Generate regular reports on procurement activities, cost savings, supplier performance, and project support functions. Qualifications & Skills Bachelor's degree in Business Administration, Supply Chain Management, Engineering, or related field. 5+ years of experience in project administration and procurement, preferably in engineering, construction, or industrial projects. Strong knowledge of procurement processes, contract management, and vendor negotiations. Proficient in MS Office (Word, Excel, PowerPoint) and project management (MS Project, or equivalent). Excellent organizational and time-management skills with attention to detail. Strong communication and interpersonal skills to liaise with internal teams, clients, and suppliers. Ability to multitask and prioritize in a fast-paced project environment. Familiarity with industry regulations, quality standards, and safety requirements.
