HR & Admin Executive Core Responsibilities HR Generalist Support end-to-end recruitment: Job ads, CV screening, interview scheduling, job offers, onboarding. Manage employee lifecycle: probation tracking, confirmation, contract renewal, exits. Monitor employee attendance and leave applications. Maintain HRIS, employee files, and update data such as emergency contact list, employment records and employee insurance. Ensuring all records are managed in compliance with applicable regulatory and data governance requirements (such as : ISO27001 and PDPA . Process employment pass for expats via MDEC for application, renewal and cancellations. Process payroll claims and statutory submissions (EPF, SOCSO, EIS, PCB, HRDC). Assist in performance appraisal. Organize employee surveys, engagement activities, HR related awareness or refresher sessions. Prepare and Submit HRDC training grant application and claims for Learning & Development sessions. Office Administration Handle office supplies, pantry, facilities, IT coordination (equipment, repairs). Maintain cleanliness, office aesthetics, and basic facility management. Liaise with vendors and suppliers; manage petty cash, invoices, procurement. Assist with company's registrations such as being a vendor, membership and its renewals. Arrange travel, meetings, admin logistics, and executive support. Manage front desk operations including handling inquiries and receiving mail/deliveries and answering /redirecting incoming phone calls to the appropriate departments or personnel. Provide ad hoc admin support and assistance for internal events or audits. Qualifications & Skills: Diploma or Bachelor's in HR Management, Business Administration, or related field. 1-3 years of combined HR/admin support experience. Strong knowledge of Malaysian labor laws and statutory compliance. Excellent communication and interpersonal skills. Highly organized, detail-oriented, and proactive. Fluent in English and Bahasa Malaysia (Mandarin as an advantage). Ability to multi-task and support a lean team structure. Proficient in MS Office (Word, Excel, PowerPoint).
