Job Summary The Legal & Secretarial Department is led by the General Counsel reporting to the Chief Executive Officer and is part of the Group General Counsel Function globally. The General Counsel Malaysia leads all legal, regulatory and corporate matters for Generali Malaysia including for the holding company, except for those matters under the purview of Compliance Department. The Legal Intern will report to the Vice President, Legal Affairs and the Corporate Secretarial Intern will report to the Vice President, Corporate & Regulatory Affairs within the Legal & Secretarial Department. Main Responsibility To support administrative work under Legal Affairs (1st intern) Assist Legal team in their administrative aspect of the legal services such as assisting in the vetting of simple standard template documents, filing of softcopies of legal documents to the designated repository, filing of softcopies of GIRS and non-GIRS policies, guidelines and technical measures, filing of softcopies of cause papers into the shared folder for systematic process. Conduct and perform research on case laws, statutes, regulations to support the legal team with their review and advisory matters. Support Legal team to liaise with stakeholders to request for documents for the purpose of any legal action or litigation cases to be filed and follow up to ensure timeline filing is on track. Perform scanning tasks for archived documents for ex-MPGB and ex-AAGI documents Justification To ensure that all legal documentation is kept in good order. To expedite the turnaround time of the legal team in providing the re-views, advisory and drafting to the stakeholders. To ensure efficient management of legal actions documents for the purpose of filings. To support administrative work under Corporate Secretarial Matters (2nd intern) Support Co Sec team with administrative duties such as scanning, indexing and filing of statutory forms and documents for all entities under Generali Malaysia including GIMB, GMHB and MPGB before archiving those beyond the 7 years period. Support Co Sec with the archiving of the above documents to the storage and ensure the detailed list to each box that are archived for MPGB and/or GIMB before the move to the new office. Support Co Sec with the follow-ups on Board and Board Committee papers submission as Co Sec team will be involved with the drafting of minutes for each Special and Scheduled Board. Perform scanning tasks for archived documents for ex-MPGB and ex-AAGI documents into the system for records Justification To ensure that minimal required documentation is kept at the new office given the limited store on site in accordance to BNM regulations. To ensure proper and detailed archiving are conducted for the documents beyond the requirement to be kept on-premises. To ensure that timeline for submission of Board and Board Committee papers is met. Compliance (this is a compulsory section) Ensure compliance with the requirements of local regulations and all other relevant statutory regulations and guidelines, as well as relevant Company, Regional and Generali policies and procedures. Information Security (IS): Responsible for defining requirements as regards to information availability, confidentiality, and integrity. Managers must ensure that all staff members (including temporary staff) and providers comply with the relevant security standards. Perform risk analysis to determine risk and potential business impacts. Liaise and co-ordinate with Information System Security Manager on all Information System Security activities within department. Ensure compliance on Information System Security standards and Information System Security guidelines are adhere to within department. Data Privacy: Ensure compliance with Data Privacy laws and regulations, policies, standards, process and procedures implemented by the Company at all times. Skills & Qualification Impact Legal Research Skills: Ability to use legal research databases such as Lexis Nexis, Lexis Advance or Malayan Law Journal. Contract Review: Basic knowledge of reviewing contracts or on company secretarial statutory forms. Communication Skills: Good written and verbal communication for purposeos communicating with various departments. Attention to Detail: Meticulous when reviewing legal documents, contracts, and company policies. Exposure: Familiarity with corporate governance and regulatory issues. Soft Skill: Proficiency with MS Office 365 and legal solution. Qualification and Experience Requirement Education Degree in law from a recognized university (Legal Intern) /MA ICSA fresh graduate (CS Intern) Experience Fresh graduate or last year students of the respective law (Legal Intern) or MAICSA (CS) Skills Resourceful, go getter and ability to multitask.
