Our Incora Story is really taking off - we'd love you to join us for the journey We are currently seeking an exceptional professional to join us as Office Administrator The Office Administrator ensures the smooth and efficient daily operations of the office, supporting a productive and organized work environment. This role encompasses office management, front desk duties, travel coordination, vendor and contract management, and finance-related administrative support. The ideal candidate is resourceful, organized, and proactive in facilitating day-to-day operations across multiple locations in the APAC region. Responsibilities Oversee day-to-day office operations to maintain an organized and efficient workplace. Manage office supplies, equipment inventory, and procurement. Support the planning and execution of internal events, meetings, and team activities. Assist in office-related projects such as renovations, relocations, and system upgrades. Ensure timely resolution of facility issues, keeping the office safe and operational. Act as the first point of contact for visitors and incoming calls, providing a professional and welcoming presence. Handle general inquiries, correspondence, mail, deliveries, and courier services. Coordinate domestic and international travel bookings including flights, accommodations, and transport. Ensure travel arrangements comply with company policies and budget requirements. Assist with travel documentation such as visa applications and insurance. Manage local service contracts (e.g., cleaning, catering, security, waste disposal). Liaise with vendors to ensure quality service and timely fulfillment. Monitor contract terms, renewals, and compliance requirements. Maintain accurate records of contracts and vendor performance. Track and manage office-related expenses and assist with budgeting. Support the finance team with invoice processing and expense reporting. Act as the central point of contact for office-related matters across departments. Requirements Relevant experience in office administration, operations coordination, or a similar role. Strong organizational and problem-solving skills with a proven ability to manage multiple priorities. Proficiency with Microsoft Office tools (Outlook, Excel, Word, PowerPoint) and basic budgeting or procurement systems. Excellent communication skills, both written and verbal. Ability to work independently and collaboratively in a fast-paced, multicultural environment. Education in Business Administration, Office Management, or a related field is an advantage but not required. Equivalent work experience is equally valued.
