In your new role you will:
- Strategic Projects:
- Assist the Vice President to manage/lead department's activities e.g. budget management, project list tracking/status, KPI (performance metrics) monitoring and tracking,Headcount management, people engagement projects, etc
- Correspondence and Communication:
- Prepare and edit presentation slides, memos, reports, and other documents as required on behalf. This includes researching topics, gathering data, data analysis and report preparation to support key messages and business objectives. Ensure that all communication is professional, accurate, and high standards.
- Process Improvement:
- Identify opportunities for process improvements and implement changes to increase efficiency, productivity, and effectiveness in the function/department.
- Calendar Management:
- Manage the Vice President's calendar, scheduling appointments, meetings, and travel arrangements. Ensure that the Vice President is well-prepared for all meetings by coordinating with other departments and individuals as necessary.
- Travel Arrangements:
- Plan and coordinate travel arrangements including flights, hotels, etc. Prepare detailed itineraries and ensure that all necessary documents are in order.
- Event Planning:
- Assist in planning and coordinating events, such as workshops, conferences, and Team Buildings, etc. This includes booking venues, arranging catering, agenda preparation, and coordinating with participants and attendees.
- Data Management:
- Maintain accurate and up-to-date records and databases, and other relevant information. Ensure that all data is handled in accordance with company policies and procedures.
- Interdepartmental Liaison:
- Act as a liaison between the Vice President's office and other departments, ensuring effective communication and collaboration.
- Confidentiality and Discretion:
- Maintain confidentiality and handle sensitive information with discretion, adhering to company policies and procedures while maintaining the highest level of professionalism and integrity.
You are best equipped for this task if you have:
- Bachelor's degree in Business Administration, Communications,or a related field.
- Minimum 1-3 years of experience as an executive assistant,preferably in a similar industry or role.
- Excellent communication, organizational, and time management skills.
- Proficient in Microsoft Office, particularly PowerPoint, Excel, Word,Outlook, Sharepoint, etc
- Experience with presentation software and graphic design principles.
- Strong research, analytical and digital skills.
- Ability to work independently and as part of a team.
- Discretion and confidentiality in handling sensitive information.
- Strong problem-solving and analytical skills.
- Proactive and flexible, with a positive attitude and a willingness to adapt to changing priorities.
- Strong attention to detail and ability to maintain high standards of quality.
- Excellent interpersonal skills, with the ability to build strong relationships with colleagues and stakeholders.
