- Manage all steps required for the completion and signing of all legal agreements, contracts, legal forms, statutory declarations, affidavits, board resolutions and/or any legal or company secretarial documentation.
- Manage the filing, scanning, organisation, copying, saving and/or archiving of all such signed legal or company secretarial documentation.
- Manage, maintain and update the legal contract masterlist and corporate tracking list for all Teleport entities.
- Manage the Contract Management System or any other systems implemented or used by the department on behalf of the legal department, to ensure all legal documentation is easily accessible and retrievable at any time.
- Ensure that all agreement templates, deal checklists and general terms and conditions are updated with the latest version for all Teleport entities, as required by the respective legal counsel.
- Assist Manager or General Counsel with extracting documents and data or preparation of documents or reports pursuant to audit exercises, reporting or quarterly compliance testing requirements.
- Manage stamping of agreements either online in LHDN website or hardcopy, as required.
- Prepare basic internal/external correspondences, letters, memo or legal online newsletters.
- Communicate with internal and external parties on behalf of the legal team,
- Other administrative, clerical and organisation support as may be assigned from time-to-time by the legal department including assisting with arranging meetings, securing meeting rooms, and procuring stationery or tools.
- Diploma in Business Administration, secretarial or any other relevant certifications or qualifications OR at least two (2) years working experience in office or departmental administration work. Experience working in a legal department or law firm is an advantage.
- Solid written and verbal communication skills. Confidence in writing and speaking in English is an advantage.
- Able to work independently and as part of a team. Ability to identify issues and propose solutions.
- Analytical thinker, resourceful, proficient with research tools.
- Systematic knowledge of databases and tracking systems.
- Fantastic organizational skills and detail-oriented.
- Ability to work under pressure and meet deadlines.
- Skilled usage and knowledge of Microsoft Office Applications.
- Proficiency in Google Doc and Google Sheet.
- Ability to grasp and interpret basic legal documents.
- Ability to do basic legal research.
