Purpose of Job The incumbent for this position is required to work in close professional collaboration with the Director. Finance & Admin (FAD) and Chairman of the Finance, Operations and Audit Committee (FOAC) to ensure that all aspects of the organisation's finance, accounting standards and other regulatory requirements are upheld at all times so as to protect the taxexempt status of WWF-Malaysia. This position will provide leadership and oversight of the Finance Department in providing financial management for the full range of accounting, financial and procurement services required by WWF-Malaysia, as is ensuring sound internal controls are implemented and practised across the organisation. Responsible for maintaining effective communication channels with donors, WWF-Network, Board, FOAC, Senior Leadership Team (SLT) and WWF-Malaysia staff for matters related to accounts, finance, procurement and funding. Assist the FAD in the provision of strategic financial advice to the SLT and the FOAC/Board, as and when required, but also generally and periodically on all matters pertaining to the financial health of the organisation, using existing and forecasted data and information on income-expenses ratios. Key Outputs Ensuring there is transparency and good governance in all financial aspects and adherence to the policies and procedures pertaining to finance, procurement and asset management for all offices. Ensure an effective and efficient financial management information system is in place to meet the requirements of various stakeholders which includes donors, WWF-Network, Board, FOAC, SLT, Sector Leaders, project executors and other regulatory bodies. Strategic advice and consultation for departments in planning and execution of their respective business plans and ensuring that the organisation's finances and accounting systems can support the achievement of the departmental strategies. Effective communication maintained with all stakeholders including FOAC, Board, staff, consultants, suppliers/vendors, banks or financial institutions, auditors, suppliers/vendors, donors and relevant regulatory bodies, in all matters relating to finance. Ensure that all relevant knowledge management within the Finance Department is maintained and archived accordingly and is easily retrievable with the use of available technological tools in the organisation. Where required, to participate and represent the FAD to the WWF-Network in terms of Finance for the organisation thus ensuring there is an establishment of Network Citizenship. Ensures that a rolling three-years financial forecast is prepared at the start of every financial year, showing projections in income-expenditure and providing the necessary advice and recommendations to the FAD and the SLT, and eventually the FOAC/Board. Major Activities Establish short-term, medium-term goals and objectives for the Finance Department and plan, execute and monitor activities within the Finance Department to ensure that the goals and objectives are achieved. Implement and maintain sound financial policies and operating procedures towards ensuring good governance, integrity, transparency and accountability in the operation and management of accounts, taxation and financial matters of the organisation. To provide high level of oversight and direction in cash flow and treasury management, accounting, budgeting, procurement, asset management and investment, in ensuring good organisation financial health To assist the FAD in the development of a Financial Strategy for the organisation for approval by SLT, FOAC and Board of Trustees. Identify and articulate opportunities, issues and concerns pertaining to investments, accounts, taxation, financial and funding matters respectively and to prepare reports, analysis and presentations for a variety of audiences in relation thereto. Where necessary, the incumbent will provide trainings to close the gaps of understanding amongst stakeholders. To provide support and assistance to FAD, in terms of participating and representing the organisation in the WWF-Network from a Finance perspective so as to establish and maintain the WWF Network Citizenship. Maintain effective communication and relationship with external parties' ie financial institutions, government regulatory bodies, auditors, consultants, suppliers/vendors and donors as well as with internal stakeholders, namely all staff, FOAC and Board, on matters pertaining to finance and procurement. From a financial perspective, to consult with FAD for timely/appropriate intervention in the event of any contradiction or matters that do not adhere to WWF-Malaysia's organisational policies & procedures, Staff Guidebook on Terms and Conditions of Service or the WWFMalaysia's Constitution. Works closely and collaboratively, with the Head of Internal Audit (IA), People and Culture Director and the FAD, to ensure that all materials relevant to the FOAC meetings are timely prepared for the purposes of facilitating effective FOAC meetings and that all minutes of such meetings are drafted promptly for circulation to FOAC members and the SLT. Specifications A certified accountant with a university degree in accounting, finance, business administration or related subject or equivalent professional qualification is essential. Must be a registered member of the Malaysian Institute of Accountants. At least ten (10) years of relevant working experience from the corporate sector in a managerial capacity or a minimum of five (5) years relevant working experience within the organisation is essential. Knowledge of intensive audit processes, good technical accounting background with investment knowledge, inclusive of but not limited to financial accounting, budgeting, cash flow management, internal financial controls and reporting principles, methods, techniques and standards and sound human resource management skills. A business oriented individual with the ability to analyse and interpret accounts and financial systems and its support requirements and provide consultation and recommendations to management. A mature individual, who is proactive, with good interpersonal skills, innovative thinking, and a versatile ability to work in a team or to work independently. Has good management skills from the corporate sector with very strong leadership qualities and people oriented. Analytical, resourceful, meticulous and well organised with a zero tolerance for inaccuracy. Excellent communication skills for business correspondence and dealing with internal or external customers. Must be computer literate and have the ability to embrace appropriate technology to enhance communication channels and management information systems.
