Job Title: Personal Assistant to CEO Client Location: Singapore Timezone: SGT (Monday to Friday, 9:00 AM - 6:30 PM) Contract Type: Full-Time Contract Term: 1 year, renewable Monthly Salary: USD 800 - 1,100 About the Role We are seeking a proactive, detail-oriented, and highly organized Personal Assistant to support the CEO of one of our clients, a high-growth tech subscription startup operating across Southeast Asia. This mission-critical role ensures the CEO operates at peak efficiency across strategic initiatives, meetings, travel, investor communications, and internal operations. You'll be the first layer of defense and coordination across time, information, and tasks-an essential right-hand person helping the CEO stay focused and high-performing. Key Responsibilities 1. Calendar & Time Management Manage and optimize the CEO's calendar, including internal, external, and personal commitments Proactively schedule high-priority meetings and follow-ups Block time for deep work, breaks, and recovery Send daily calendar briefs and flag any conflicts 2. Inbox & Communication Support Triage and organize the CEO's email inbox Draft and send responses as needed Escalate urgent messages and manage key stakeholder follow-ups Handle inbound LinkedIn and investor communications 3. Meeting Preparation & Follow-Up Prepare briefs with bios, agendas, and meeting objectives Record action items and track deliverables Ensure timely follow-ups with stakeholders Maintain clean, organized notes in Notion or CRM 4. CRM & Task Management Keep Pipedrive (or similar CRM) updated with contact and deal info Assign tasks, set reminders, and track workstreams Support investor pipeline organization and outreach tracking 5. Travel & Logistics Research and book travel and accommodations Create itineraries and handle visa documentation Manage rescheduling, cancellations, and reimbursements 6. Administrative & Personal Support Run light personal errands (e.g., gifts, bookings) Manage online subscriptions and renewals Track recurring admin tasks such as tax filings and insurance Must-Have Qualifications Minimum 3 years of experience as a Virtual Assistant or Executive/Personal Assistant supporting C-level executives Excellent written and verbal communication in English Strong time management and organizational skills Proficiency in Gmail, Google Calendar, Slack, Notion, Pipedrive (or similar CRM), and Google Drive Highly attentive to detail and able to handle confidential information Strong judgment and ability to prioritize independently Comfortable with AI tools and managing cross-border schedules Nice-to-Have Skills Experience working in startup or tech environments Familiarity with productivity tools like ClickUp, Trello, or Superhuman Basic knowledge of automation tools (e.g., Zapier, N8N) What Success Looks Like CEO spends 80% of time on high-impact tasks Inbox is consistently triaged and cleared within 24 hours Calendar is optimized and aligned with priorities No action item falls through the cracks Meetings are well-prepped and on time Travel and personal admin are seamlessly managed Show more Show less
