The mall is a 1.3 million sq ft of next-generation retail space that includes a 10-acre rooftop park. We are seeking a dynamic and creative Receptionist cum Admin to join our team. The position involves the management of daily operations within the Centre Management Office (CMO), the coordination of administrative tasks, and the assurance of a smoothly functioning office environment. Strong organizational and communication skills are essential, along with a commitment to cultivating a positive and efficient workplace. These attributes are crucial for making a meaningful contribution to the organization&aposs success Your Duties Include But Not Limited To The Following Reception and Office Management Attend to visitors by greeting them, direct them to destinations, direct calls to relevant parties, and relay message if necessary. Uphold professional appearance and behaviour when attending to the public, and clients. Maintain a clean, organized, and pleasant office environment including meeting rooms and pantry by coordinating office cleaner and technician with Facilities Management. Assist in meeting room bookings and arrangement required. Prepare drinks to VIP guests whenever required. General Administrative Support Manage emails, courier services and attending to correspondence in a professional and efficient manner. Updating Key Contacts on monthly basis and Team Key Responsibilities on quarterly basis. Checking Claim Box (for staff claim collection) and mailbox at Ground Floor frequently to ensure important documents reach on time. Record documents/items received from external parties for tracking purposes. Procurement Support Provide purchase order (PO) support from preparation, approval follow-up to receiving in Yardi System for Centre Management Office (CMO). Manage and replenish pantry supplies (groceries) and office supplies/essentials (stationery, equipment, tools and furniture) by monitoring inventories. Ensuring orders are placed within budget guidelines, track orders and follow up on deliveries. Arrange loading bay slot booking and coordinate with Dock Master on the delivery matters when necessary. Event Coordination Assist office events coordination (eg: birthdays, festive celebration, townhall, team building, etc.) including decorations, vendor management & payment, catering arrangements). Financial And Records Management Process invoices, bills, and receipts, ensure accuracy of records and submit to Finance for payment arrangement. Organize and maintain company documents and files in a secure and efficient manner (electronic and physical). To be considered for this role 1-2 years of experience in a similar capacity. Professional personal presentation and great communication skills. Pays attention to detail, reliable, proactive and demonstrates initiative, able to work with minimal supervision. Benefits Permanent position 5 days a week. Working hour is 8am to 5pm.
