- Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
- Good knowledge of office management systems and procedures.
- Proficiency in using office equipment.
- Strong command of MS Office, especially Excel and PowerPoint.
- Time management skills with the ability to prioritize and handle multiple tasks efficiently.
- High attention to detail with strong problem-solving skills.
- Excellent written and verbal communication skills.
- Basic understanding of databases and record-keeping.
- A team player with independence, result orientation, and strong commitment to tasks.
- Strong customer service skills to manage inquiries, complaints, and user assistance effectively.
- Basic technical support knowledge, including troubleshooting, logging, and monitoring support tickets.
- Willingness to work beyond office hours to meet deadlines when required by management.
- Receive and professionally handle all inbound calls from users regarding inquiries, technical issues, or registration assistance related to the project system.
- Conduct outbound calls and/or send messages as needed for user verification, case follow-ups, and feedback collection.
- Accurately log and ticket all user complaints and inquiries within the same working day.
- Monitor and ensure timely resolution of support tickets in compliance with the system's Service Level Agreement (SLA), including same-day closure when applicable.
- Maintain accurate tracking of all support tickets using the designated helpdesk or CRM platform.
- Escalate unresolved or complex issues promptly to the relevant technical team.
- Uphold a high level of professionalism by providing clear, courteous, and effective communication in all user interactions.
- Assist in the preparation of reports, meeting minutes, correspondence, and supporting documents for client submissions and internal use.
- Coordinate and manage administrative tasks such as scheduling, filing, and data entry related to project operations.
- Maintain accurate records of staff claim submissions, ensuring proper filing and regular updates of supporting documents.
- Oversee pantry operations, including ordering, restocking, and replenishment of meals, snacks, and beverages to support a well-maintained office environment.
