Job Description:The Legal Entity Management Desk which is part of the Office of the General Counsel group who partners with the Office of the Secretary to promote effective governance of the Firm, its branches, subsidiaries and affiliates.The Legal Entity Management Desk - Associate may be responsible for delivery of one or more corporate governance functions with a primary focus on Malaysia legal entities. You will be required to support the local Corporate Secretary with Board/Committee meeting preparation including scheduling Board/Committee meetings, consolidation and distribution of Board/Committee materials to stakeholders, attending Board/ Committee meetings to provide live support, prepare minutes of the meeting, perform statutory/ regulatory filings, provide support in managing compliance with internal governance policies and render support for other ad-hoc projects / initiatives.Job responsibilities:Supporting the Corporate Secretary with Board/Committee meetings. Such responsibilities include:
  • Scheduling Board/Committee meetings
  • Consolidation and distribution of Board/Committee materials to stakeholders
  • Attend Board Meetings to provide live support Complete post Board/Committee meeting activities
  • Provide support in managing compliance with internal governance policies as well as relevant statutory and regulatory requirements
  • Data management and maintenance of corporate records in accordance with relevant policies / procedures
  • Working closely with partner teams (such as the Global Filing team or Third-Party Vendors) to ensure Legal Entity's overall compliance
  • Provide support for other ad-hoc projects / initiatives
Required qualifications, capabilities, and skills:
  • Qualification from the Institute of Chartered Secretaries and Administrators (ICSA) or a Legal qualification
  • A minimum of 3 years Post Qualification Experience in a corporate environment, legal entity management or a law firm
  • Advanced computer skills (i.e., MS Office Suite)
  • Proven analytical, research, organizational and relationship building/communication skills
  • Focused on detail orientation
  • Takes accountability for work product and owns duties through completion with proper follow up, resolves/escalates errors
  • Self-starter with the ability to work independently and as part of a team
Preferred qualifications, capabilities, and skills:
  • Corporate governance experience is beneficial but not required
  • Experience in working across multiple regions / cultures
  • Excellent written and verbal communication skills
  • Effective organization and execution skills
  • Highly detail oriented, results driven with ability to multitask and meet deadlines
