We are seeking a dedicated and experienced professional to join our dynamic IT team in the role of IT Admin, Reporting, and Planning Lead. This position is instrumental in overseeing IT administrative functions, optimizing reporting processes, and contributing to strategic planning initiatives.Key Responsibilities:
  • Conscientiously manage vendor invoices, administer and monitor expenditures, and conduct weekly follow-ups on the status of Purchase Requests/Purchase Orders (PR/PO) and associated reports pertaining to technology-related expenses.
  • Organize and maintain a detailed record of key action items for IT Management meetings.
  • Assist in the preparation and distribution of comprehensive IT reports for various entities.
  • Assist with timesheet report extraction and generate succinct summaries for line manager confirmation.
  • Calculate JIRA actual consumption for precise chargeback purposes.
  • Ensure accurate chargebacks to entities for direct IT invoices.
  • Manage both new and existing agreements with third-party vendors, ensuring their timely renewal and maintenance.
  • Maintain an up-to-date record of IT vendors, including a detailed breakdown of recurring charges through blanket Purchase Requests/Purchase Orders (PR/PO).
  • Organize and facilitate Tech Townhall events and Tech Away Days with committee support.
  • Involve in the mid-year budget exercises and aid in the entity's performance deck.
  • Aid in yearly budget planning and submission reviews.
  • Assist in accrual exercises related to technology-related expenses.
  • Assist in creating an extensive three-year strategy plan for Technology.
  • Develop and sustain a budget tracker to monitor actual spending for various entities.
  • Act as the primary contact person for Project Management Tools (Asana).
  • Support in addressing and closing audit findings or requests from regulatory bodies (BNM) within given timeframes.
  • Engage in the drafting of White Label (WL) monetization agreements.
Qualifications and Skills:
  • Bachelor’s degree in a relevant field or equivalent practical experience
  • Previous experience in a similar role or administration with a strong understanding of IT processes and procurement
  • Excellent communication and stakeholder management skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize effectively
  • Proficiency in tools like Excel, JIRA, and Asana
  • Knowledge of budget planning and reporting.
  • This role demands a high degree of interaction across various departments, requiring flexibility and adaptability to changing priorities and deadlines.
