- Greet and welcome visitors in a courteous and professional manner.
- Answer and direct incoming phone calls to the appropriate department or individual.
- Manage the reception area to ensure it is clean, organized, and presentable.
- Provide information to visitors about our company, services, and facilities.
- Assist guests with inquiries, appointments, and other requests.
- Escort visitors to meeting rooms and notify relevant staff members of their arrival.
- Assist with clerical tasks such as filing, photocopying, scanning, and faxing documents.
- Receive and distribute mail, packages, and deliveries.
- Maintain office supplies inventory and place orders as needed.
- Coordinate with internal departments to relay messages and ensure timely communication.
- Schedule appointments and manage calendars for executives and other staff members.
- Assist with the coordination of meetings, conferences, and events as required.
- Monitor security cameras and access control systems to ensure the safety of employees and visitors.
- Enforce security procedures and protocols to protect company assets and maintain confidentiality.
- Respond to emergency situations and follow established procedures for evacuation and crisis management.
- Previous experience as a receptionist or in a customer service role preferred.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook).
- Excellent communication and interpersonal skills.
