Job Purpose The Associate personal assistant provides comprehensive administrative and operational support to ensure the smooth functioning of the Main PA's responsibilities. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks while maintaining confidentiality and professionalism. Key Responsibilities Assist the Main PA in managing daily schedules, appointments, and meetings. Prepare, edit, and format correspondence, reports, and presentations as directed. Handle phone calls, emails, and other communications, ensuring timely responses. Organize and maintain digital and physical filing systems. Coordinate travel arrangements, accommodation, and event bookings. Support in organizing internal and external meetings, including preparing agendas, materials, and minutes. Liaise with staff, students, and external parties as required by the Main PA. Assist in tracking deadlines, projects, and follow-ups. Maintain confidentiality of sensitive information at all times. Perform any other administrative duties as assigned. Requirements Diploma or Degree in Administration, Business, or related field. Minimum 1-2 years of administrative or secretarial experience (experience in an academic setting is an advantage). Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook). Excellent written and verbal communication skills in English (Bahasa Malaysia and Mandarin is an advantage). Strong organizational and time management skills. Ability to multitask and work under pressure. High level of integrity, professionalism, and discretion. Priority given to those who can start work IMMEDIATELY.
