Minimum 3 years' experience in admin/sales/accounts (senior role)
5+ years' experience may be considered for a higher salary range
Experience in advertising/media/outdoor industry is a bonus
Strong command of English & Bahasa Malaysia (Mandarin is an advantage)
Proficient in Microsoft Office (Excel, Word, PowerPoint)
Knowledge of Adobe Photoshop is a plus
Excellent communication & coordination skills
Strong work ethic, organized, and able to multitask independently
Positive mindset, responsible, and a great team player
Willing to take on additional responsibilities when needed

Responsibilities

Sales & Client Coordination

Prepare media proposals, quotations, and presentation decksLiaise with vendors on artwork approval, renewals & campaign timelinesSupport sales team with bookings, follow-ups, and after-sales serviceCoordinate with vendors, production & installation teams to ensure smooth execution

Administrative & Project Support

Manage documentation, internal records, contracts, and project trackersMaintain up-to-date media inventory (billboards, miniboard, buntings, etc.)Organize visual archives and filing systems

Accounts & Finance Support

Issue invoices, track payments, and manage basic financial recordsLiaise with accountant on monthly reports, petty cash, and staff claimsEnsure accuracy and timeliness of all account transactions

Team Supervision

Guide, monitor, and support junior admin/sales team membersDelegate daily tasks and follow through on completionProvide simple coaching and foster a collaborative work cultureAdditional Key Roles

Strategic Planning & Business Development

Contribute to department goals and business strategiesIdentify new market opportunities and client segmentsProvide input for marketing campaigns and promotional plans

Process Improvement

Review and improve internal workflows to enhance team efficiencySuggest and implement SOPs, tracking tools, or new systems

Reporting & Analysis

Prepare monthly updates on sales, projects, and team progressAnalyze client feedback and market trends to support decision-making

Client & Vendor Relationship Management

Build strong, professional relationships with clients and suppliersAttend meetings, calls, and events as a company representative

Team Culture & Support

Assist with onboarding and training new hiresSupport a positive, motivated, and accountable team environmentOrganize internal meetings or team-building activities

Crisis & Issue Management
