- Data Entry & System Updates: Handles data entry of tracing details into relevant systems and performs simple updates in spreadsheets/logs.
- Document Compilation: Compiles supporting documents for Tracing Executives.
- Record Maintenance: Prepares and maintains tracing logs, case files, and periodic summaries.
- Reporting Support: Assists in generating status dashboards and performance reports.
- Information Collection: Requests or collects documents and information from internal stakeholders.
- Escalation: Escalates missing or unclear information to Tracing Executives.
- Support Material Preparation: Prepares checklists, reminders, or summary notes to aid team efficiency.
- Internal Follow-ups: Follows up on internal requests (e.g., status updates, missing documents).
- Filing & Organization: Assists in filing, sorting, and organizing tracing records.
- Timeline Tracking: Helps track case timelines and flag pending tasks to ensure timely resolution.
- Administration Support: Provides general administrative support to the tracing unit.
- Qualification or diploma in Logistics, Business Admin or equivalent.
- 1-2 years of experience in a cargo/operations admin role.
- Technical Skills: Proficient in Excel, Word, and email communication tools. Proficient in Google Workspace (Sheets, Slides, Docs) is a bonus.
- Good written and verbal communication skills.
- Strong attention to detail and ability to manage multiple tasks and deadlines.
- Proactive and self-motivated.
- Strong interpersonal skills for effective stakeholder communication.
